Delete your account & data

How to ask us to close your member account and erase what we hold about you — what goes, what the Society's books oblige us to keep, and how long it takes.

What this page is for

This page tells you how to ask the IDL Staff Cooperative Multipurpose Society Limited to delete your member account and the personal information we hold about you, what we can delete, what we are obliged to keep, and how long the whole thing takes. It is the deletion route referenced by the IDL Cooperative app on Google Play and the App Store.

It applies to the member mobile app and to the records behind it. It sits alongside your rights under the Privacy Policy, and the membership rules in the Terms & Conditions — read the clause on leaving the Society if you intend to withdraw altogether.

Decide what you are actually asking for

Members ask for three different things and the words tend to blur together. Tell us which one you mean, because the consequences differ sharply.

Remove the app
Uninstalling the app removes it from your phone and nothing else. Your membership, savings and loans continue exactly as before, and your payroll deduction keeps running. This is not a deletion request and needs nothing from us.
Delete your app account
We erase the personal details and sign-in credentials that exist to run the app — photo, email, device binding, biometric key, PIN. You lose access to the app, but you remain a member of the Society and your deductions continue.
Withdraw from the Society
You cease to be a member. This is a by-laws process, not an app setting: obligations fall due, your savings and shares are set off against what you owe, and the net balance is refunded. Deletion of your app account follows once the account is settled.

If you are not sure, say so in your message and describe what you want to happen. The Member Services Desk will set out the consequences before anything is deleted.

Before you ask

Membership of a cooperative is a financial relationship with the other members, not just an account on a phone. A few things have to be true before we can close and erase an account.

  • No outstanding balance. Any loan, commodity instalment or fee still owing must be settled, or set off against your savings, before your account can be closed.
  • No live guarantee. If you stand as guarantor on another member’s loan that is still running, your undertaking survives until that loan is discharged. We cannot erase the record of it while it is still relied upon.
  • Savings paid out. Your balance, shares and any dividend due are reconciled and refunded under the by-laws before closure.

Where one of these blocks a full deletion, we will still delete everything that is not caught by it — and tell you plainly what remains, why, and when it can go.

How to make the request

By email

Write to support@idlcooperativesociety.com with the subject Data deletion request. Send it from the email address on your member record where you can — it makes the identity check quicker. Include:

  • Your full name as it appears on your member record.
  • Your PF number.
  • The phone number registered on your account.
  • Which of the three things in clause 02 you are asking for.

In person

Come to the Member Services Desk at the IDL premises, Monday to Friday, 9am–4pm, with your staff identification. The Desk will take the request down and give you a reference.

What we delete

Once your identity is confirmed and your account is settled, we erase the following.

  • Your profile photo, including the copy held by our image hosting provider.
  • Your email address, and your phone number once it is no longer needed to reach you about the closure.
  • Your PIN hash, so the credential is gone rather than merely disabled.
  • The device binding on your account and any biometric public key registered from your handset.
  • Push notification tokens and your notification preferences, ending all app, SMS and email messaging to you.
  • Draft and cancelled applications that were never acted on.
  • Support correspondence, once the matter it relates to is closed and outside the retention period in clause 05.

After this, the account can no longer be signed into and you will not be able to recover it, its history or its statements through the app. Ask us for a copy of your statement before you request deletion if you want one.

What we must keep, and why

Some records cannot be deleted on request. They are the Society’s books — evidence of what was contributed, lent and repaid out of a fund every member owns a share of — and cooperative law, our by-laws and audit obligations require us to hold them. The periods below are the same ones set out in the Privacy Policy.

Savings & loan ledger
At least six years from the final entry — audit, dividend history and any future dispute depend on it.
Membership record
A minimal record of membership and exit, for at least six years after your account is fully settled.
Guarantor undertakings
For the life of the guaranteed loan and at least six years after discharge, including the exact wording accepted.
Security & audit logs
Typically 24 months, longer where an investigation or dispute is open.
Statutory & tax records
For the period the applicable law requires.

These retained records are kept to the minimum needed for the purpose, are not used to contact you or to market anything, and are deleted when their period expires. Where a record can be reduced to figures without identifying you, we reduce it.

How long it takes

Acknowledgement
Within 5 working days of receiving your request.
Identity check
Immediately after, by one-time code to your registered phone or in person.
Settlement
Where a balance, guarantee or refund is outstanding, the by-laws period for reconciling and paying it out.
Deletion
Within 30 days of a verified request, or of settlement where clause 03 applies.
Backups
Encrypted backups roll off on their own cycle and are fully purged within 90 days of deletion. Nothing is restored from them to bring your data back.
Confirmation
We write to you, in the same channel you used, setting out what was deleted and what was retained.

If we cannot meet the 30 days — because the request is complex or a settlement is still running — we will tell you before the deadline, with the reason and a new date.

If you leave IDL

Membership is tied to your employment, so it ends when you leave IDL. Your account is settled under the by-laws and your access to the app is withdrawn, but this is not automatically a deletion request — the records described in clause 05 remain for their retention period. If you want everything else erased at that point, make the request on this page and we will handle it the same way.

Questions and complaints

If a request is refused, or you are unhappy with how it was handled, say so and we will explain the basis and review the decision. You may also complain to the regulator.
